2General Principles and Legal Bases

Personal data is any information that relates to an identified or identifiable natural person; for example, your name, email address, telephone number, or IP address. We process personal data solely in compliance with the relevant provisions of the GDPR:

  • Art. 6(1)(a) GDPR: You have given express consent to the processing for one or more specific purposes.
  • Art. 6(1)(b) GDPR: Processing is necessary for the performance of a contract or in order to take steps at your request prior to entering into a contract (e.g., preparing a customized cleaning proposal).
  • Art. 6(1)(c) GDPR: Processing is necessary for compliance with a legal obligation to which we are subject, such as statutory commercial and tax retention duties.
  • Art. 6(1)(f) GDPR: Processing is necessary for the purposes of the legitimate interests pursued by us, such as ensuring the technical functionality and cybersecurity of our website, provided your interests or fundamental rights do not override those interests.

Encrypted Connection

This website utilizes TLS/SSL encryption for all data transmissions. You can recognize an encrypted connection by the «https://» protocol and the lock icon in your browser address bar. Form data submitted to us is encrypted in transit and protected against unauthorized third-party access.

Recipients and International Data Transfers

We do not sell, rent, or trade your personal data. Data is only transferred to third parties where strictly necessary to fulfill our services (specifically to our German web hosting provider acting as a data processor under contract) or where mandated by law. No data is transferred to entities located outside the European Union or European Economic Area.

3Web Hosting and Server Logs

This website is hosted on high-security server infrastructure provided by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany («IONOS»). IONOS processes technical server logs on our behalf in strict compliance with a data processing agreement pursuant to Art. 28 GDPR.

Whenever you access a page or file on this website, the web server automatically records technical connection data in server log files:

  • IP address of the requesting device
  • Date and time of server access
  • Page or file requested
  • Referrer URL (the previous page from which you arrived, if provided by your browser)
  • Browser type, version, and operating system
  • HTTP status code (e.g., successful page delivery)
  • Volume of transmitted data in bytes

These log records are strictly necessary to deliver page content, ensure operational stability, and investigate potential cybersecurity incidents. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in the secure and reliable operation of our online presence. Log data is not merged with other data sources or used for marketing purposes.

Server logs are stored for a maximum period of eight weeks by IONOS and are subsequently deleted automatically. Further details are available in the IONOS Privacy Policy.

Aggregated IONOS Analytics

Our hosting package includes aggregated web statistics. IONOS evaluates anonymous server requests to summarize traffic volumes, browser distribution, and peak visiting hours. According to IONOS, IP addresses are anonymized immediately upon collection. No tracking cookies, tracking pixels, or third-party client scripts are employed (legal basis: Art. 6(1)(f) GDPR).

4Inquiries via Form, Email, and Phone

You may contact us through two contact forms on our homepage – the fast quote calculator and the comprehensive quote request form – as well as directly via email or telephone.

Processed Data Categories

  • Fast Quote Calculator: Facility type, approximate floor space, Hamburg district, desired cleaning rhythm, and your email or telephone number.
  • Detailed Quote Form: Full name, company name, email address, telephone number, facility type, approximate floor space, requested cleaning services, and your individual message or specifications.
  • Email or Phone Inquiries: Your email address, phone number, and any details you provide in your message or conversation.

For form submissions, we also record the submission timestamp.

Purpose and Legal Basis

We process your data exclusively to respond to your inquiry, prepare an itemized price proposal, and schedule an on-site walkthrough. The legal basis is Art. 6(1)(b) GDPR (pre-contractual measures initiated at your request).

The form checkbox serves solely as verification that you have read and taken note of this privacy policy. It does not constitute a separate unnecessary consent; processing proceeds under the contractual and legitimate legal bases stated herein.

If your communication does not concern a commercial service request (for example, general information), processing is based on our legitimate interest in professionally answering correspondence (Art. 6(1)(f) GDPR).

Transmission and Storage

When you submit a form, your data is securely encrypted in transit and routed directly to our professional email inbox. We do not store form submissions in an internet-accessible database on the web server.

Spam Prevention and Rate Limiting

To safeguard our forms against automated spam and denial-of-service abuse without using privacy-invasive third-party captchas or cookies, we implement privacy-friendly security mechanisms:

  • An invisible honeypot field traps automated bots: submissions with filled honeypot fields are discarded silently.
  • Forms submitted in less than 3.5 seconds after page load are rejected as automated submissions.
  • We enforce an IP rate limit of five submissions per hour. To protect your privacy, we do not store raw IP addresses, but rather an irreversible cryptographic hash (HMAC-SHA-256 with secret key) and timestamp in temporary storage. IPv6 addresses are truncated to the network prefix before hashing. This hash is purged automatically after one hour.

Your IP address is not included in the notification email we receive. The legal basis for these security measures is Art. 6(1)(f) GDPR (our legitimate interest in system security and spam prevention).

Data Retention

We delete inquiry data as soon as the request has been fully addressed and does not lead to a business engagement. Where a service contract is concluded, we retain relevant commercial documentation in accordance with statutory German commercial and tax retention periods (Section 257 HGB, Section 147 AO; Art. 6(1)(c) GDPR): typically 6 years for business correspondence and 8 years for accounting records and invoices.

Voluntary Provision

Providing your personal data is entirely voluntary. However, without communication details (specifically a phone number or email address), we cannot prepare or deliver a customized proposal.

5Job Applications

You can apply for employment at Solarte by telephone or email. We process your application data (name, contact information, work experience, availability) solely for reviewing your candidacy and conducting the recruitment process (Art. 6(1)(b) GDPR).

Upon hiring, your application details are incorporated into your personnel file. If an application is unsuccessful, your documents are deleted within six months following the conclusion of the selection process to enable defense against potential claims under the German General Equal Treatment Act (AGG; Art. 6(1)(f) GDPR). Extended retention occurs only with your explicit consent.

6No Cookies or Tracking Services

This website does not set any cookies or web storage tokens (Local Storage or Session Storage). Your web browser only caches static site assets (CSS, fonts, images) and honors the HSTS security directive, which is strictly necessary from a technical perspective (Section 25 Paragraph 2 No. 2 TDDDG).

We do not use advertising trackers (such as Google Analytics or Meta Pixel), social media plugins, or marketing newsletters. Consequently, our website is entirely free from intrusive cookie consent banners.

7Typefaces and Fonts

The typefaces used on this website (Manrope and Schibsted Grotesk) are hosted locally on our own web server and loaded directly from our domain. No external network connection is established to Google Fonts or any other external font repository.

8Service Area Map

The interactive district map of our service areas in Hamburg is a custom vector graphic generated from open official geographical data provided by the Free and Hanseatic City of Hamburg (LGV). It is delivered directly from our server without connecting to external mapping providers such as Google Maps or OpenStreetMap. Viewing the map transmits zero data to third parties.

9No Automated Decision-Making

We do not engage in automated individual decision-making or profiling within the meaning of Art. 22 GDPR.

10Your Rights as a Data Subject

Under the GDPR, you are entitled to the following statutory rights regarding your personal data:

  • Right of Access (Art. 15 GDPR): Right to obtain confirmation as to whether personal data concerning you is processed and to receive a copy of that data.
  • Right to Rectification (Art. 16 GDPR): Right to request the correction of inaccurate data or the completion of incomplete data.
  • Right to Erasure (Art. 17 GDPR): Right to request the deletion of your personal data where statutory grounds apply and no overriding legal retention obligation exists.
  • Right to Restriction of Processing (Art. 18 GDPR): Right to restrict the processing of your data under specific statutory conditions.
  • Right to Data Portability (Art. 20 GDPR): Right to receive your personal data in a structured, commonly used, and machine-readable format.
  • Right to Withdraw Consent (Art. 7(3) GDPR): Right to withdraw any consent previously granted at any time with future effect.

To exercise any of these rights, simply email us at info@xn--broreinigung-solarte-pec.de or call us at 040 94787219 or on mobile 0152 02828220.

Right to Object (Art. 21 GDPR)

Where processing is based on our legitimate interests (Art. 6(1)(f) GDPR), you have the right to object at any time on grounds relating to your particular situation. We will cease processing your personal data unless we demonstrate compelling legitimate grounds that override your interests, or where processing is required for the establishment, exercise, or defense of legal claims.

We do not process your data for direct marketing purposes. Should we ever do so in the future, you may object at any time without providing any justification.

Right to Lodge a Complaint with a Supervisory Authority (Art. 77 GDPR)

If you consider that the processing of personal data relating to you infringes the GDPR, you have the statutory right to lodge a complaint with a competent supervisory authority, particularly in the Member State of your habitual residence, place of work, or place of the alleged infringement. The competent supervisory authority for our registered office is:

Der Hamburgische Beauftragte für Datenschutz und Informationsfreiheit
(Hamburg Commissioner for Data Protection and Freedom of Information)
Ludwig-Erhard-Str. 22, 7th Floor
20459 Hamburg, Germany
datenschutz-hamburg.de

We encourage you to contact us directly first so that we can address any questions or concerns as quickly as possible.

11Currency and Amendments

We may periodically update this Privacy Policy to reflect technical enhancements, updated internal processes, or evolving legal frameworks. The version currently published on this page shall apply.
